This privacy notice for Taskified, hereinafter referred to as “we”, “our”, “us”, outlines the methods through which we gather, disclose, and process personal data when you utilize our website, web application, and all associated services offered by Taskified (hereinafter referred to as ‘services’). It also elucidates your options regarding our data procedures.

Data collection comes from two points:

"You" or "your", as used in this Privacy Policy, refers to the individual to whom personal data relates.

When you visit our website https://taskified.co, and use our services, you trust us with your personal information. We take your privacy very seriously. In this privacy policy, we seek to explain to you in the clearest way possible what information we collect, how we use it, and what rights you have in relation to it.

4. Types of information collected

Personal Information provided by you.

When signing up and completing the onboarding process for our app, we collect the following data provided by you:

  1. Contact Details: Whether signing up on our app, accessing our site, signing up for the mailing list we may collect your full name, employer, date of birth, job title, and user email address.
  2. Payment Information: When enrolling in our app, payment is processed by Stripe (according to their own privacy policy, found here: https://stripe.com/privacy) and NOT Taskified. We have no access to your full payment information.
  3. Content of emails: Emails sent and received through the app (“Email Content Data”) need to be processed by Taskified, but is encrypted and unreadable. Taskified cannot read, use or sell Email Content Data to third party providers. Taskified does not store or host any content of your emails.

Personal Information provided by third party applications.

Considering your account is created using Google’s sign in feature, we receive information from google including:

  1. Basic profile information (your name, email address, profile photo associated with your gmail account).
  2. Authentication tokens (to authenticate your Gmail account during login).
  3. Email content (with user permission, email content is required to summarize and display user’s emails). Taskified does not store, host, read or use email content.
  4. Email Contacts (to allow seamless sending).

Considering OpenAI’s API is used for all AI functions within Taskified, the following information should be considered:

  1. Data collection. The user acknowledges that, in accordance with OpenAI’s Chat GPT API Privacy Policy, any prompt used in the API will be stored one month, and no longer.
  2. Personal Information. OpenAI will not collect personal information unless it is provided in the prompt by the user.
  3. Data security. All data to and from the API is encrypted.
  4. User consent. The user consent’s to OpenAI processing data gathered from email generation prompts.

Information automatically collected.

Some information will be automatically collected when using our Application and website. These include:

  1. Cookies and related technologies. These are collected to recognize you, provide a personalized experience, and make your overall experience more seamless.
  2. Log and Usage Data. This data is automatically sent when you access or use our application, for the purpose of improving our service, diagnostics, and overall user experience. This includes IP address (or proxy server), device information, HTTP requests, browser type and settings, and information about your activity in the Application (date/time stamps associated to usage, pages used, searches, and any other actions you take).
  3. Device Data. This data may include information such as computer type, IP address (or proxy server), operating system, and browser type.
  4. Email metadata. This includes numeric identifiers and timestamps, but does not include Email Content Data or anything to identify the sender, recipient, or subject.

Information collected from other sources.

Some information, collected from partners like Google Analytics and AdSense, will be used to help us understand website performance, generate reports, identifying user trends, and optimizing marketing campaigns. The data is processed in an aggregated and anonymized form to protect individual privacy. Information we gather includes:

  1. Device and browser information (e.g., device type, operating system, browser type)
  2. IP addresses
  3. Website interactions (e.g., page views, clicks, form submissions)
  4. Referral sources (e.g., search engines, social media platforms)
  5. Demographic information (if enabled)

Information collected from social media includes:

  1. Social networking insights: We manage profiles on various social networking platforms such as Facebook and Twitter (referred to as "Social Media Pages"). Your interactions with these pages may lead to the collection of personal information that you choose to disclose through your social media settings, including contact details. Additionally, the platforms hosting our Social Media Pages may furnish us with aggregated data and analytics concerning the usage of these pages.

Third-party authentication details: Should you opt to link, connect, or log in to our Service using a third-party platform (e.g., Google, Microsoft), you authorize the transmission of information, such as registration and profile details, from that platform to us. The nature of the data received is contingent upon the privacy settings of the individuals on relevant social networks and the data accessibility determined by our data providers.

5. How do we use your information?

We process your information for several reasons, including:

  1. Provide, operate, and maintain our website.
  2. To assist authentication and account creation. We may process information to allow for account creation and login through google sign in. We may also use this data to identify users in the future.
  3. To assist in service delivery to the user. Some data needs to be processed, or the application cannot function. This includes but is not limited to authentication tokens, updating and synchronizing features across multiple devices, and displaying information about Contacts (profile photos, names, and email addresses).
  4. Communication and feedback requests. We may collect personal information to facilitate communication and obtain feedback from users. This helps us understand their needs, address inquiries, and improve our services based on user input.
  5. Respond to support requests. We may collect personal information to effectively respond to and address support requests from users. This allows us to provide assistance, troubleshoot issues, and ensure a satisfactory user experience.
  6. To send administrative information to you. We may collect personal information to send important administrative messages related to your account or our services. This includes updates, changes in terms or policies, and other essential communications necessary for the proper functioning of our platform.

    1. To protect our business, prevent fraud or criminal activity, misuse of our app and site, to ensure IT security of our systems and architecture
    2. To comply with legal obligations and processes to protect our rights, privacy, and that of our affiliates, you, or other third parties.

We do not sell or share user data or personal data with third parties.

7. When and with whom do we disclose your personal information?

We do not disclose, sell, or release private personal information, except in the following circumstances:

Taskified encrypts all data that is considered Personal Identifiable Information (PII) using the Advanced Encryption Standard (AES). This encryption standard is recommended by Google to keep your data safe. We prioritize data safety and will ensure that all data that is considered PII is safely stored.

11. Data retention

Taskified will only keep personal information as long as it is required for the purposes noted in the privacy policy, unless required by law (accounting, legal or tax reasons) or until you withdraw your consent. If Taskified has no recognizable need to process your personal information, the information will be either deleted or anonymized.

12. Third Party Privacy Policies

Taskified’s Privacy Policy does not apply to other advertisers or websites. Thus, we advise you to consult the respective Privacy Policies of these third-party ad servers for more detailed information. It may include their practices and instructions about how to opt-out of certain options.

Taskified does not knowingly collect any Personal Identifiable Information from children under the age of 13. If you think that your child provided this kind of information on our website, we strongly encourage you to contact us immediately and we will do our best efforts to promptly remove such information from our records
